I Built This Because I Lost $4,000 to a Shoebox of Receipts
The frustrating story of how manual invoice data entry cost me thousands in missed deductions—and why I built ExtractInvoice.
Let me tell you about the worst afternoon of my financial life.
It was April. Tax season. My accountant had asked—for the third time—for "a summary of business expenses." I'd been putting it off because I knew what awaited me.
A shoebox. Literally a shoebox, stuffed with receipts, crumpled invoices, and printed emails. Six months of "I'll deal with this later" compressed into one cardboard container of regret.
The Six-Hour Nightmare
I cleared my afternoon and got to work.
Receipt by receipt. Invoice by invoice. Squinting at faded thermal paper. Typing vendor names into a spreadsheet. Googling "is printer ink a business expense" for the fourth year in a row.
Six hours later, I had a spreadsheet. It was ugly, probably incomplete, and I was pretty sure I'd entered at least three receipts twice.
My accountant looked at it and sighed. You know that sigh—the one that says "this is going to cost you."
The $4,000 Discovery
After filing, I did a rough comparison with the previous year. Something was off. Way off.
Turns out I'd missed about $4,000 in deductible expenses. Some were just buried in the shoebox chaos. Others I'd categorized wrong. A few I'd apparently entered with the wrong amounts because the receipt had faded.
That's real money. Not "optimizing my tax strategy" money—just straight-up money I left on the table because my system was a cardboard box and a prayer.
The Search for Something Better
So I did what any reasonable person would do: I searched for software to fix this.
What I found:
Dext wanted $500+ per month for their accountant plan. I had maybe 50 invoices a month. That math didn't math.
Enterprise OCR tools wanted me to "schedule a demo with sales." I don't want a demo. I want to upload a receipt and get data back.
Free OCR apps kind of worked, except they'd read "Staples" as "St@ples" and the amounts were wrong half the time.
Manual data entry services existed, but I wasn't about to send my financial documents to strangers on Fiverr.
Everything was either too expensive, too complicated, or too unreliable.
"There Has to Be a Better Way"
I kept seeing this phrase on Reddit. r/smallbusiness, r/Entrepreneur, r/Accounting—people asking the same question I was asking.
"Is there anything simpler than Dext for a small business?"
"Why do all these tools assume I have 500 clients?"
"I just want to turn receipts into a spreadsheet without selling my firstborn."
The market had clearly decided that invoice extraction was either a feature for massive accounting firms or a toy feature in apps that didn't do it well.
What about the rest of us? The founders processing 50-200 invoices a month? The solo bookkeepers with 10 clients instead of 100?
So I Built It
ExtractInvoice started as a side project. Upload an invoice. AI extracts the data. Export to CSV. Done.
No per-client pricing. No 47-step onboarding. No features I'd never use.
The first version was rough. I used it for my own receipts for three months, tweaking the extraction, fixing edge cases, cursing at scanned PDFs from 2019.
Then I showed it to a few friends who ran small businesses. They had the same reaction: "Wait, that's it? That's all it does?"
Yes. That's all it does. And it does it well.
What This Isn't
I'm not going to pretend ExtractInvoice will change your life. It's not AI-powered automation that will replace your accountant. It's not a full AP workflow with approvals and payments.
It's a tool that turns a pile of invoices into structured data you can actually use. That's it.
If you need enterprise features, deep integrations with 40 different accounting platforms, and dedicated account managers—Dext is great. I mean it. It's good software for companies that need what it offers.
But if you're like me—a founder or small business owner who just needs the data extracted without the enterprise pricing—maybe ExtractInvoice is worth a look.
The Point of All This
I built this because I was frustrated. Because I lost money to a broken system. Because I kept searching for a tool that didn't exist.
Now it exists.
If you've ever stared at a pile of receipts and thought "there has to be a better way," I built this for you.
No sales pitch. No pressure. Just a tool that does one thing well, at a price that makes sense for people who aren't enterprise.
If any of this resonates, give it a try. 14-day free trial, no credit card. Just upload a few invoices and see if it helps.
