What to Do When Your Client Sends You 47 Receipt Photos

A practical workflow for bookkeepers handling the inevitable pile of blurry receipt photos, email forwards, and WhatsApp messages from clients.

You know the message.

It arrives at 4:47 PM on a Friday. A WhatsApp notification, or maybe an email with the subject line "Receipts - January."

Attached: 47 photos. Some blurry. Some sideways. One is somehow a screenshot of another screenshot. Several are clearly duplicates. None are organized.

"Here you go!" says the message. "Let me know if you need anything else!"

You need many things. A time machine. A better filing system. Clients who read the instructions you sent them three times.

But you're not going to get those things. What you're going to get is 47 receipt photos and a deadline.

So let's talk about how to handle this efficiently.

The Old Way (And Why It's Killing Your Margins)

The traditional workflow looks something like this:

  1. Download all 47 photos to a folder
  2. Open each one individually
  3. Squint at the blurry text
  4. Type the vendor, amount, and date into a spreadsheet
  5. Try to read the faded receipt from that restaurant
  6. Give up on that one, message the client, wait for a response that won't come for three days
  7. Move to the next photo
  8. Realize photo #23 is a duplicate of photo #7
  9. Continue for approximately 47 × 5 minutes = 4 hours
  10. Upload everything to accounting software
  11. Wonder why you chose this career

At 5 minutes per receipt, 47 photos = 4 hours of manual work. For one client's one month.

If you have 15 clients doing this, that's 60+ hours of data entry per month. Just for receipts.

The Problem with "Just Use Dext"

The obvious answer is "get your clients on Dext" or similar software.

But here's the reality:

Most clients won't use it. You've sent the app link. You've explained the email forwarding. You've made video tutorials. They still text you photos because it's easier for them.

The pricing doesn't work for small practices. Dext's £299/month unlimited plan makes sense if you have 50+ high-volume clients. If you have 10-15 small business clients, you're paying £20+ per client for something they barely use.

You're still the bottleneck. Even with client-facing apps, you end up doing quality control anyway. Might as well have a workflow that assumes clients will send you chaos.

A Better Workflow

Here's what actually works:

Step 1: Accept the Chaos

Stop trying to train clients out of bad habits. Instead, build a system that handles whatever they throw at you.

Whether they send:

  • Photos from their phone
  • Email forwards with attachments
  • PDFs from vendors
  • Screenshots of receipts

Your workflow should handle all of it the same way.

Step 2: Batch Upload, Not One-by-One

The key insight: don't process receipts individually. Batch them.

  1. Create a client folder for the month
  2. Dump everything in - all 47 photos, all formats
  3. Run batch extraction through your OCR tool
  4. Review the output as a single spreadsheet

This changes the task from "process 47 receipts" to "review one spreadsheet and fix 3-5 errors."

Step 3: Use Extraction That Handles Photos

Not all OCR is created equal. Some tools only work well with clean PDFs. You need something that handles:

  • Blurry phone photos
  • Crumpled receipts
  • Faded thermal paper
  • Sideways and upside-down images
  • Multiple receipts in one photo

Modern AI extraction handles all of this. The technology has gotten way better in the past two years.

Step 4: Fix Outliers, Trust the Rest

Here's the mindset shift: you're not manually entering data anymore. You're reviewing AI-extracted data and fixing exceptions.

A good extraction tool will:

  • Flag low-confidence items for review
  • Extract everything else automatically
  • Give you accuracy in the 95-98% range

Your job becomes: look at the flagged items, verify the data, move on.

Time comparison:

  • Old way: 47 receipts × 5 min = 235 minutes (nearly 4 hours)
  • New way: batch upload (2 min) + review flagged items (10 min) = 12 minutes

Step 5: Export to Your System

The end result is a clean CSV or direct sync to accounting software. Same data you'd have typed manually, in a fraction of the time.

Setting Client Expectations

While you can't force clients to change, you can make your life easier:

The "How to Send Me Receipts" Template

Send this to clients at the start of each engagement:

Hi [Client],

Here's the easiest way to send me receipts:

Option 1: Email them to [dedicated email address] Option 2: Put them all in a shared Google Drive/Dropbox folder Option 3: Send them in a single message (not 47 separate messages)

Any format works - photos, PDFs, email forwards. Just try to:

  • Make sure the amount and date are readable
  • Include the whole receipt (not just the bottom)
  • Send everything by the 5th of each month

That's it! No special app needed.

This sets expectations without demanding clients use specific software.

The Math That Matters

Let's say you have 15 clients, each sending ~30 receipts per month.

| Method | Time per Client | Total Monthly Time | |--------|-----------------|-------------------| | Manual entry | 2.5 hours | 37.5 hours | | Batch + extraction | 15 minutes | 3.75 hours | | Time saved | | 33.75 hours |

That's nearly a full work week per month.

What could you do with that time? Take on more clients? Actually leave the office before 7 PM? Learn that new accounting software you've been meaning to try?

Tools That Actually Work

For this workflow, you need extraction software that:

  1. Handles batch uploads (not one-at-a-time)
  2. Works with photos (not just clean PDFs)
  3. Flags uncertain items (so you know what to review)
  4. Exports to CSV (works with any accounting software)
  5. Doesn't charge per-client (predictable monthly cost)

That last point matters. Per-client pricing punishes you for having small clients. A flat monthly rate lets you use the tool however makes sense for your practice.

The Bottom Line

Your clients are going to send you receipt photos. This is not going to change.

What can change is how long it takes you to process them.

The workflow is simple:

  1. Collect everything in one place
  2. Batch upload to extraction tool
  3. Review flagged items
  4. Export to accounting software
  5. Bill client, move on

47 receipts in 12 minutes instead of 4 hours. That's the difference between a Friday evening finishing up paperwork and a Friday evening doing literally anything else.
