What file formats do you support?

We support PDF, JPEG, PNG, and WebP files up to 10MB each. This covers scanned invoices, receipts, photos from your phone, digital PDFs, and even handwritten documents. Most documents are 1-3 pages, but we handle up to 25 pages.

How do I upload a document?

From your dashboard, click the upload zone or drag and drop your file. You can upload invoices, receipts, bills, quotes, and more—up to 500 at once. Processing typically takes 5-10 seconds per document.

What data gets extracted?

We extract vendor name, invoice/receipt number, dates, line items with descriptions and amounts, subtotals, taxes, discounts, and totals. Each field includes a confidence score so you know what might need review. We automatically detect document type (invoice, receipt, bill, etc.).

Can I edit extracted data before exporting?

Yes. Click any invoice to open the detail view where you can edit any field. Your changes are saved automatically and will be included in exports.

What export formats are available?

CSV, Excel (XLSX), JSON, PDF, QuickBooks formats (IIF and CSV), and Xero CSV. Each export maps line items, taxes, and totals to the fields your accounting software expects.

Can I send invoices via email instead of uploading?

Yes. Each account gets a unique email address (like ingest-abc123@extractinvoice.app). Forward invoices there and they're automatically extracted. Set up forwarding rules in your email client to automate it.

Yes. API access is available on Professional and Premium plans. You can programmatically upload invoices and retrieve extracted data.

What does '98% accuracy' mean?

On average, 98% of extracted fields match the original invoice exactly. This is measured across thousands of real invoices including scans, photos, and digital PDFs. Low-quality scans or unusual layouts may have lower accuracy.

What are confidence grades?

Each extraction gets a confidence grade (A, B, or C). Grade A means high confidence and auto-approvable. Grade B is good but worth a glance. Grade C means you should double-check the extraction.

How do I handle low-confidence extractions?

Invoices with low confidence appear in your 'Pending' queue on the dashboard. Click to open, compare against the original, and edit any incorrect fields. Click Approve when done.

Why did my invoice extract incorrectly?

Common causes: very low image quality, handwriting mixed with print, unusual invoice layouts, or invoices in languages other than English. Try uploading a higher-quality scan or photo with better lighting.

Can you handle handwritten invoices?

Yes, though accuracy is typically 70-85% compared to 98% for typed documents. Clear handwriting on standard invoice forms works well. Messy handwriting, unusual layouts, or faded ink may drop to 50-60% accuracy.

What languages do you support?

We're optimized for English invoices and deliver the highest accuracy there. Common European languages (Spanish, French, German, Italian, Portuguese) work reasonably well. Other languages may extract but with lower confidence.

How does the free trial work?

You get 14 days and 25 invoices, whichever comes first. No credit card required. Use all features including exports. If you don't subscribe, your account stays active but you can't process new invoices.

What happens when I hit my monthly limit?

You'll see a notification and won't be able to process new invoices until your limit resets on your billing date. You can still access, edit, and export previously processed invoices. Upgrade anytime for more capacity.

What are overages and how do they work?

If you enable overages in Settings, you can keep processing invoices after hitting your monthly limit. You'll be charged per extra invoice: $0.10 on Starter, $0.05 on Professional, $0.03 on Premium. Overages are billed at the end of your billing cycle.

Can I upgrade or downgrade my plan?

Yes. Upgrades take effect immediately with prorated billing. Downgrades take effect at your next billing cycle. Go to Settings → Billing to manage your plan.

All major credit and debit cards via Stripe. We don't store card details—Stripe handles payment security.

How do I cancel my subscription?

Go to Settings → Billing and click 'Manage Subscription'. You'll retain access until the end of your billing period. We don't do refunds for partial months, but we also don't make cancellation hard.

Is my data secure?

Yes. All files are encrypted with AES-256 at rest and TLS 1.3 in transit. We use Vercel's SOC 2 Type II certified infrastructure. Access is authenticated and rate-limited.

Do you use my invoices to train AI models?

No. Your data is never used for model training. We use a third-party AI service for extraction only, and they are contractually prohibited from training on customer data.

How long do you keep my files?

Original invoice files are deleted based on your plan: Trial users get 14 days, Starter 90 days, Professional 180 days, and Premium 365 days. Your extracted data stays available indefinitely while subscribed.

Are you GDPR compliant?

Yes. Export your invoice data anytime from the dashboard. Delete your entire account from Settings. We only collect what's necessary to provide the service.

How do I delete my account?

Go to Settings → Account and click 'Delete Account' in the Danger Zone. This is immediate and permanent—all your files, extracted data, and settings are wiped.

My upload is stuck or failed

Check file size (max 10MB) and format (PDF, JPEG, PNG). Try refreshing the page and uploading again. If it persists, the file may be corrupted—try re-scanning or re-exporting the original.

Processing is taking longer than usual

Most invoices process in 5-10 seconds. Multi-page documents or complex layouts take longer. If it's been more than 60 seconds, refresh the page. The invoice may have completed but the UI didn't update.

I can't log in to my account

If you signed up with email/password, reset your password. If you used Google Sign-In, make sure you're clicking 'Continue with Google' and selecting the same Google account you originally signed up with.

My QuickBooks export isn't importing correctly

Make sure you're using the right format for your QuickBooks version: Desktop QuickBooks uses IIF, QuickBooks Online uses CSV. Check that date formats match your QuickBooks settings.
