Terms of Service
The rules of the road for using ExtractInvoice. We've kept it as straightforward as legal docs allow.

Short version (for humans)
The full Terms below are the binding version. If anything conflicts, the full Terms win — ping us at hello@extractinvoice.app.
- Monthly subscriptions renew automatically until you cancel. Cancel anytime in Billing.
- 14-day free trial (25 invoices max), no credit card required to start.
- Use the service lawfully; don't break rate limits or share accounts outside your company.
- You own your docs and extracted data; we only process it to run the service.
- AI isn't perfect — review extracted data before relying on it for critical decisions.
- Email inbox included for forwarding invoices directly to your account.
- API access available on Professional and Premium plans.
- Accounts are non-transferable. See our Privacy Policy for data handling.
Agreement
These Terms of Service (the “Terms”) govern your access to and use of ExtractInvoice (the “Service”). By creating an account or using the Service, you agree to these Terms and our Privacy Policy, which explains how we collect and use your data. If you don't agree, don't use the Service.
Who We Are
ExtractInvoice helps small businesses turn invoices and receipts into clean data, fast. We provide software tools for document processing — not accounting, tax, or legal advice. Always consult qualified professionals for those matters.
Accounts & Eligibility
- You must be at least 18 years old and able to form a binding contract.
- Provide accurate registration info and keep credentials secure.
- You're responsible for all activity under your account.
- We may refuse or suspend access if you violate these Terms.
Subscriptions & Billing
Auto-renewal disclosure: by starting a subscription, you authorize a recurring monthly charge until you cancel.
- Free Trial: 14-day trial on all plans, up to 25 invoices, no credit card required to start. Original files and extracted data retained for 14 days.
- Paid Plans: Starter (90 days), Professional (180 days), Premium (365 days) file retention. Extracted data retained indefinitely while subscribed.
- Cancellation: cancel anytime from Billing. Access continues until your billing period ends. After cancellation, files are deleted after 90 days and extracted data after 180 days. Export before then to keep your data.
- Refunds: no partial refunds for unused time except where required by law.
- Pricing changes: we'll give at least 30 days notice by email or in-app.
- Overage: usage beyond plan limits billed at current rates (Starter: $0.10, Professional: $0.05, Premium: $0.03 per extra invoice).
- Taxes: prices exclude taxes; you're responsible for applicable taxes.
- Payment disputes: if you dispute a charge with your card issuer, we may suspend your account pending resolution. Valid refund requests should go through us first (see the “Refunds” item above) rather than initiating a chargeback.
Permitted Use & Restrictions
- Use the Service only for lawful purposes per these Terms.
- No reverse engineering, scraping, brute forcing, or rate-limit abuse.
- No uploading malware, illegal content, or sensitive data you lack rights to process.
- One account per company; no account sharing outside your organization.
- Don't use output as the sole basis for high-risk decisions without human review.
Prohibited content includes:
- Fraudulent, forged, or falsified invoices or receipts
- Documents related to illegal transactions or money laundering
- Content that infringes third-party intellectual property rights
- Documents containing classified or restricted government information
- Any content that violates applicable laws in your jurisdiction
Fair Use Policy - Document Pages
Pricing is per invoice regardless of page count for typical documents (1-25 pages). This covers 99.5% of real invoices and receipts.
- Standard: documents 1-25 pages at regular plan rates.
- Large documents: files over 25 pages may incur additional fees.
- Notification: we'll always email before charging extra for large docs.
- Enterprise: for regular large document processing, contact us for volume pricing.
Email Forwarding
All plans include an email inbox for forwarding invoices directly to your account for processing.
- How it works: forward invoices to your unique inbox address; we extract and add them to your account.
- Attachments: PDF, JPEG, PNG, and WebP attachments are processed; other file types are ignored.
- Limits: email submissions count toward your monthly invoice limit.
- Security: your inbox address is unique to your account. Don't share it publicly.
- Content: only forward invoices you have the right to process. We discard email body text after extracting attachments.
Your Responsibility for Accuracy
- You are responsible for ensuring documents you upload are accurate and legitimate.
- We extract data as provided; we don't verify the authenticity of your documents.
- Review extracted data before using it for accounting, tax, or other official purposes.
- We are not liable for errors in your source documents or decisions made based on extracted data.
Your Content & Our Rights
- You own your uploaded files and extracted data.
- You grant us a limited license to process content solely to provide the Service.
- We may aggregate and anonymize usage metrics to improve reliability.
- We own the Service (software, UI, orchestration). No other rights granted.
- Feedback you provide may be used by us without restriction.
API Access
- Availability: API access is included with Professional and Premium plans only.
- Authentication: API keys are private credentials. Keep them secure and don't share or expose them publicly.
- Rate limits: API requests are subject to reasonable rate limits. Excessive requests may be throttled or blocked.
- Usage: API usage counts toward your monthly invoice limit. Overages billed at your plan's overage rate.
- Revocation: we may revoke API keys for abuse, security concerns, or Terms violations.
Upload Limits
- File size: maximum 10MB per file.
- File types: PDF, JPEG, PNG, and WebP.
- Batch uploads: up to 500 files per batch session. Files process concurrently (up to 5 at a time).
- Storage: original files stored per your plan's retention period, then automatically deleted. Extracted data retained indefinitely for paid users.
Third-Party Services
We rely on third-party services (Neon, Vercel, Stripe, AI providers). Your use may be subject to their terms. We're not responsible for their availability or behavior.
DPA & Subprocessors
A Data Processing Addendum is available upon request. Email hello@extractinvoice.app. We maintain a list of core subprocessors and can provide details on request.
Beta Features
We may offer beta or experimental features. They're provided “as is” and may change or be discontinued at any time. We appreciate feedback but don't guarantee support or continuity for betas.
Account Inactivity
- Definition: an account is considered inactive after 12 months with no logins, uploads, or API activity.
- Trial accounts: inactive trial accounts may be deleted after 90 days. We'll email a warning 14 days before deletion.
- Paid accounts: we won't delete inactive paid accounts while the subscription is active. After cancellation, standard retention periods apply.
- Reactivation: simply log in to reactivate your account before the warning period ends.
Service Level Agreement
- Uptime: we strive for 99.5%+ monthly uptime, excluding planned maintenance.
- Maintenance: typically weekends with advance notice.
- Credits: if uptime falls below 95%, paid users may request a month's credit.
- Best effort: SLA is our commitment, not a guarantee.
Data Breach Protocol
- Notification: for GDPR-covered breaches, we'll notify within 72 hours.
- Method: email to registered address plus in-app notification.
- Response: investigate, contain, assess impact, prevent recurrence.
Disclaimers
- The Service is provided “as is” and “as available.” Use at your own risk.
- We disclaim all warranties, express or implied (merchantability, fitness, non-infringement).
- AI output can be imperfect; you must review before relying on it.
Limitation of Liability
To the maximum extent permitted by law, we will not be liable for indirect, incidental, special, consequential, or punitive damages, or loss of profits, data, or business. Our total liability is limited to fees you paid in the three months preceding the claim.
Indemnification
You agree to defend, indemnify, and hold us harmless from claims arising from your use of the Service, your content, or your violation of these Terms or law.
Governing Law & Disputes
- These Terms are governed by California law (conflicts rules excluded).
- Venue: state and federal courts in San Francisco County, California.
- Class action waiver: disputes must be brought individually.
- If any provision is unenforceable, the rest remains in effect.
Termination
- By you: cancel anytime via Settings → Billing or by emailing us. Access continues until your billing period ends.
- By us: we may suspend or terminate access immediately for Terms violations, abuse, non-payment, or illegal activity.
- Effect: upon termination, your right to use the Service ceases. Export your data before cancellation using Settings → Data → Download My Data; retention periods are described in Subscriptions & Billing.
- Survival: the following sections survive termination: Your Content & Our Rights, Disclaimers, Limitation of Liability, Indemnification, Governing Law & Disputes, and any accrued payment obligations.
Changes to Terms
We may update these Terms. Material changes will be communicated by email or in-app. Continued use after changes take effect constitutes acceptance.
Force Majeure
We're not liable for delays or failures caused by events beyond our reasonable control: natural disasters, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, strikes, power outages, internet outages, or failures of third-party services (hosting providers, payment processors, AI providers). We'll make reasonable efforts to resume service as soon as practicable.
Assignment
You may not assign or transfer your account or these Terms without our written consent. Accounts are non-transferable. We may assign our rights and obligations under these Terms in connection with a merger, acquisition, reorganization, or sale of assets, with notice to you.
Notices
- To you: we send notices via email to your registered address or through in-app notifications. Keep your email address current.
- To us: send legal notices to hello@extractinvoice.app. Include “Legal Notice” in the subject line.
- Effective date: email notices are effective when sent; in-app notices are effective when posted.
Electronic Communications
By using the Service, you consent to receive communications from us electronically (email, in-app notifications). You agree that all agreements, notices, disclosures, and other communications we provide electronically satisfy any legal requirement that such communications be in writing.
Entire Agreement
These Terms, together with our Privacy Policy and any supplemental terms for specific features, constitute the entire agreement between you and ExtractInvoice regarding the Service. They supersede all prior agreements, understandings, and communications, whether written or oral.
Waiver & Severability
- Waiver: our failure to enforce any provision of these Terms doesn't waive our right to enforce it later. A waiver of any breach is not a waiver of subsequent breaches.
- Severability: if any provision is found unenforceable, the remaining provisions remain in full force and effect. The unenforceable provision will be modified to the minimum extent necessary to make it enforceable.
