Terms of Service

Short version (for humans)

The full Terms below are the binding version. If anything here conflicts, the full Terms win — ping us at hello@extractinvoice.app.

  • Monthly subscription renews automatically until you cancel. Cancel anytime in Billing.
  • Free plan (25 invoices/month, no credit card required). Paid plans available for higher limits.
  • Use the service lawfully; don’t break rate limits or share accounts outside your company.
  • You own your docs and extracted data; we only process it to run the service.
  • AI isn’t perfect — review extracted data before relying on it for critical decisions.

These Terms of Service (the “Terms”) govern your access to and use of ExtractInvoice (the “Service”). By creating an account or using the Service in any way, you agree to these Terms. If you do not agree, do not use the Service.

Who we are

ExtractInvoice is built and operated by Jon and Ali. We help small businesses turn invoices and receipts into clean data, fast. We are not your accountants or lawyers.

Accounts & Eligibility

  • You must be at least 18 years old and able to form a binding contract to use the Service.
  • Provide accurate registration information and keep your credentials secure.
  • You are responsible for all activity under your account.
  • We may refuse or suspend access if you violate these Terms.

Subscriptions, Trials, Billing (Auto‑Renew)

  • Auto‑renewal disclosure: by starting a subscription, you authorize a recurring monthly charge until you cancel.
  • Free Plan: 25 invoices per month, 7-day file retention, no credit card required. Paid plans include longer storage: Starter (30 days), Professional (90 days), Premium (365 days).
  • Cancellation: you can cancel anytime from Billing in your account. Access continues until the end of the current period.
  • Refunds: no partial refunds for unused time except where required by law.
  • Pricing changes: we may update pricing with at least 30 days’ notice by email or in‑app.
  • Overage: usage beyond plan limits billed at current rates: Free: $0.15 per extra invoice, Starter: $0.10, Professional: $0.05, Premium: $0.03.
  • Taxes: prices exclude taxes; you’re responsible for applicable taxes.

Permitted Use & Restrictions

  • Use the Service only for lawful purposes and in accordance with these Terms.
  • No reverse engineering, scraping, brute forcing, probing, or rate‑limit abuse.
  • No uploading malware, illegal content, or sensitive data you lack the right to process.
  • One account per company; no account sharing outside your organization.
  • Do not use output as the sole basis for high‑risk decisions without human review.

Fair Use Policy - Document Page Limits

Pricing is per invoice/document regardless of page count for typical business documents (1-25 pages). This covers 99.5% of real invoices and receipts. However, documents over 25 pages require additional processing resources and may incur extra fees.

  • Standard coverage: documents 1-25 pages processed at regular plan rates.
  • Large documents: files over 25 pages may incur additional fees based on actual processing costs.
  • Notification: we'll always email you before charging any additional fees for large document processing.
  • Enterprise options: for regular processing of large documents, contact us for volume pricing or custom arrangements.

This policy protects our infrastructure while maintaining predictable pricing for the vast majority of users.

Your Content & Our Rights

  • You own your uploaded files and the extracted data.
  • You grant us a limited license to process content solely to provide the Service.
  • We may aggregate and anonymize usage metrics to improve reliability and security.
  • We own the Service (software, UI, orchestration). No rights are granted except as stated.
  • Feedback you provide may be used by us without restriction.

Third‑Party Services

We rely on third‑party services (e.g., Firebase, Stripe, AI providers). Your use of those services may be subject to their terms. We are not responsible for their availability or behavior.

Data Processing Addendum (DPA) & Subprocessors

A Data Processing Addendum (DPA) is available upon request. Please email hello@extractinvoice.app and we will provide a signed copy. We maintain a list of core subprocessors (Firebase, Stripe, and AI providers used solely for extraction) and can provide additional details on request.

Beta Features

We may offer beta or experimental features. They are provided “as is” and may change or be discontinued at any time. We appreciate feedback, but don’t guarantee support or continuity for betas.

Service Changes & Availability

We may modify, suspend, or discontinue the Service (or parts of it) with notice when reasonable. We aim for high availability but do not promise uninterrupted or error‑free operation.

Service Level Agreement

  • Uptime commitment: we strive for 99.5%+ monthly uptime, excluding planned maintenance and force majeure events.
  • Maintenance windows: planned maintenance typically occurs on weekends with advance notice via email or in‑app notifications.
  • Service credits: if uptime falls below 95% for a month (excluding maintenance), paid users may request a credit for that month's subscription. Contact us to report significant outages.
  • Best effort basis: SLA applies on a best-effort basis. This isn't a guarantee but our commitment to keeping things running.

Data Breach Protocol

We take security seriously and have protocols for handling data breaches.

  • Notification timeline: for GDPR-covered breaches, we'll notify affected users and supervisory authorities within 72 hours of becoming aware, as required by law.
  • Notification method: we'll email affected users at their registered email address and post an in‑app notification for confirmed breaches involving personal data.
  • Reportable breaches: breaches that could result in risk to user rights and freedoms, such as unauthorized access to, alteration of, or destruction of personal data.
  • Response: we'll investigate, contain the breach, assess impact, and take reasonable steps to prevent recurrence.

Disclaimers

  • The Service is provided “as is” and “as available.” Use at your own risk.
  • We disclaim all warranties, express or implied (merchantability, fitness, non‑infringement).
  • AI output can be imperfect; you must review before relying on it.

Limitation of Liability

To the maximum extent permitted by law, in no event will we be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or any loss of profits, data, or business, even if advised of the possibility. Our total liability for any claim is limited to the fees you paid us in the three (3) months preceding the event giving rise to the claim.

Indemnification

You agree to defend, indemnify, and hold us harmless from claims arising from your use of the Service, your content, or your violation of these Terms or applicable law.

Governing Law; Dispute Resolution

  • These Terms are governed by the laws of the State of California, USA (conflicts rules excluded).
  • Venue: state and federal courts in San Francisco County, California.
  • Class action waiver: disputes must be brought individually, not as class actions.
  • If any provision is unenforceable, the rest remains in effect.

Termination

You may cancel at any time in your account or by contacting us. We may suspend or terminate your access immediately for violations of these Terms or misuse. Upon termination, your right to use the Service ceases, but sections that by nature should survive (ownership, confidentiality, disclaimers, liability limits, dispute terms) will remain in effect.

Changes to Terms

We may update these Terms. Material changes will be communicated by email or in‑app. Your continued use after changes take effect constitutes acceptance of the updated Terms.
